I wanted to share my experience and method for Export Microsoft 365 mailboxes to PST format locally—a task that’s become essential in our workflow for both compliance and peace of mind.
We’re a mid-sized company using Microsoft 365, and I handle most of the IT admin work. After a close call with accidental data loss due to user deletion, we decided to implement a solid backup process for all mailboxes.
After testing several tools, I landed on Shoviv Office 365 Backup Tool. What stood out was its ability to schedule automatic backups, select multiple mailboxes at once, and export directly to PST files—all without affecting our live environment.
Here’s how I set it up:
1. Installed the software on a dedicated local machine.
2. Connected it to our Office 365 tenant using global admin credentials.
3. Selected all user mailboxes and customized the backup filters (date range, folders, etc.).
4. Choose the PST format as the destination and set the path to a secured local drive.
5. Set the scheduler to run weekly, ensuring we always have an up-to-date copy.
Restoring data is also straightforward with its built-in restore option.
I highly recommend this tool if you're looking for a reliable, no-fuss way to back up Office 365 data locally. It’s saved us more than once.
